Job Title: Finance Manager
Salary: Up to £32,000 p.a.
FT/PT: Full-time – 37 hours per week.

Spruce Carpets is a dynamic social enterprise helping people on low incomes secure access to low cost floor coverings, by diverting valuable resources from landfill and helping people to overcome barriers to employment in the process. We are well on our way to become a £1 million+ turnover, making a leading contribution to carpet re-use in Scotland. We now need an experienced finance manager with sound and comprehensive skills and knowledge and who will be confident and credible when discussing detailed financial/ business plans with potential future investors and grant funders.

Purpose and Scope of the role
Reporting to the General Manager, the Finance Manager is a senior role in the organisation which will evolve as the business continues to grow.

The role will have responsibility for the following:

  • Leading the finance function and developing and implementing robust policies, procedures, systems and reporting to ensure that the business is well managed financially.
  • Delivering and presenting budgets, monthly management accounts, statutory accounts in accordance with legislative and regulatory compliance.
  • Ensuring the highest standards of internal control and risk management.
  • Providing assistance to the General Manager and Fundraiser in relation to fundraising and the development of a fundraising strategy to support the organisation’s future activity and growth plans.

Key Tasks

Financial systems, reporting and management Preparation, provision and control of budgetary, management and annual account information.

Maintenance of the processes around cash, debtor and creditor management.

Preparation of monthly payroll using SAGE payroll system.

Preparation and timely submission of returns to HMRC (payroll-related, VAT etc.)

Provide relevant financial data and assistance to the General Manager for all reporting, both internally and externally.

Provide relevant financial data and assistance to the General Manager and Fundraiser in the preparation of funding applications.
Lead on the annual budget and reforecasting.

Liaison with external auditors, preparation of annual audit file and co-ordination of year-end processes within agreed timescales.

Maintenance of recording, monitoring and reporting systems for planned and unplanned absence.

Funding Develop relationships with investors and provide funder reporting and information packs including covenants, KPI’s, management information as required.

To maintain the financial model and be able to present overview and scenarios to key stakeholders.

To prepare board reports in funding progress against targets.

To lead on the financial element of due diligence exercises with potential funders ensuring timely responses to queries and all timetables are met.

To work closely with the General Manager and the Fundraiser to identify potential funders with a strategic fit with Spruce.

Staff Development, Management, Flexibility and Personal Conduct Positive senior manager role model for all staff and volunteers within the organisation.

Co-ordination of financial deadlines with team to ensure that these are met.

Planning of individual tasks to ensure that these fit within wider strategic deadlines.

Provision of staff training/ technical accounting support the team.

Willingness to accept and respond positively that from time to time you may be asked to perform roles outside your original job description on an ad hoc basis.

Maintenance of high levels of staff engagement and personal implementation day to day of the organisation’s culture and values.

Person Specification

Essential Desirable
Qualifications Recognised accountancy qualification e.g. ACCA, CIMA or equivalent. X
Knowledge Legislation as it relates to financial governance within the sector. X
Financial challenges in the operation of a small business. X
Experience Experienced all round accountant e.g. financial accounts, management accounts, budgeting, long term financial planning, banking, payroll, purchase and sales ledger. X
Preparation of annual budgets, business plans and budgetary control. X
Preparation and presentation of financial information to Boards and Committees. X
Leading in the provision of financial guidance and direction to the General Manager and other colleagues. X
Experience in credit control. X
Preparation and review of financial procedures and year end statutory Group accounts. X
Supervision and development of staff. X
Experience of operating in a finance function in a trade sector not dissimilar to flooring. X
Knowledge of the social enterprise/charity sector. X
General working knowledge and awareness of health and safety in the workplace. X
